Choosing the right bookkeeper for your restaurant, bar or franchise is a very important part of running your business successfully and profitably.  As a business owner, you should answer the following questions before beginning your search for a bookkeeper:

  • Do you want a bookkeeper who is experienced in your specific industry?
  • What exactly do you want the bookkeeper to do for you?
  • Do you want someone onsite or will remote service be sufficient?
  • How often do you want to talk to your bookkeeper?
  • When do you want your P&Ls finished each month?
  • Do you need a bookkeeper who is experienced with your accounting software?
  • How do you value your own time?
  • How long would it take you to do your own bookkeeping?
  • What is your monthly budget for bookkeeping?
  • Do you need a bookkeeper who has knowledge of Department of Labor Laws for better payroll compliance?
  • Are inventory entries and payroll accruals important to you for accurate financial reporting?
  • What financial reporting do you want from your bookkeeper?
  • Do you want to know when your credit card and cash deposits aren't matching?
  • Do you want a bookkeeper who is experienced with your POS System and Payroll Company?
  • Are you using a Gift Card/Promo Card/Loyalty Card system? Will you need a bookkeeper experienced with tracking these programs?
  • Do you want a bookkeeper who is experienced with sales & use tax audits? Department of Labor Audits? Mixed Beverage Audits?

Now that you've answered the questions above, you should have a better idea of what your ideal bookkeeper needs to provide in order to make you happy.

***The most common reason a restaurant, bar or franchise owner will search for a new bookkeeper is to improve timely reconciliations and financial reporting.***

Things to remember when interviewing bookkeepers or bookkeeping services

  • Your bookkeeper, or bookkeeping service, should have your reconciliations completed and Profit & Loss Statements ready no later than the 15th of the following month for each prior month.
  • Always make sure you communicate your standards, goals and reporting deadlines in your initial interview to make sure both you and your potential bookkeepers are on the same page.
  • Ask them if they are willing to sign a Confidentiality Agreement.
  • You get what you pay for - the cheapest is almost never the best.
